Monday- Thursday 10 am- 2 pm
Some occasional flexibility may be required, including Sunday mornings and Saturdays for events.
POSITION OVERVIEW
Parish Ministries and Office Coordinator is a part-time position that provides reception, communications, worship administration, ministry support, and volunteer coordination for St. Christopher’s Anglican Church.
As a welcoming presence for parishioners, visitors, and the wider community, this position brings enthusiasm and support to parish life through relationship building, effective communication, strong organizational skills, and a commitment to confidentiality.
Parish Ministries and Office Coordinator reports to the Rector.
Responsibilities:
Reception & Office Support
· Maintain a warm, orderly, and peaceful office environment that provides a welcoming sanctuary for parishioners and visitors.
· Respect confidentiality at all times.
· Serve as the first point of contact by greeting people in- person, by phone or by email.
· Respond to general inquiries and direct requests to the appropriate person.
Worship & Pastoral Administration
· Prepare and print weekly order of service bulletins and other worship materials under the direction of the Rector.
· Coordinate administrative arrangements for baptisms, weddings, funerals, and memorial services in consultation with the Rector.
· Prepare related documentation, correspondence, and service materials.
· Maintain baptism, wedding, funeral, and memorial records as required.
· Provide Sunday morning administrative support, including connecting with visitors and newcomers, supporting hospitality, promoting parish events, and assist with worship-related needs.
Parish Communications
· Assist with promoting parish ministries, programs, and events.
· Prepare and distribute parish communications, including:
o Newsletters
o Bulletins
o Announcements
o Correspondence
o Digital communications on social media platforms.
· Maintain and update the parish website using the Tithely platform, ensuring content is accurate, current, and engaging.
· Diligently maintain the parish directory of contact information and email addresses.
· Develop and maintain a workflow calendar for the Rector, Wardens and Finance and Facilities Administrator.
· Organize, update, and maintain comprehensive physical and digital filing systems to ensure quick access to vital information in collaboration with the Finance and Facilities Administrator.
· Assist in preparing the Annual Report.
Ministries & Volunteer Coordination
· Support and connect with volunteer coordinators of the various ministries including: the Altar Guild, Readers, Servers, Lay Administrants of the Chalice, Greeters/Sidepersons, Hospitality Team, Mission and Outreach Committee, Music and Choir leaders, Intercessors and Pastoral Care Team, Carpooling Initiative Team, Bridge Group, Needles and Pins, Wednesday Coffee Hour and Men’s Breakfast Group, as well as event/fundraising planning teams.
· Assist with volunteer scheduling, communications, and coordination.
· Work with the Rector and volunteers in developing new ministries, outreach and Christian formation programs that enrich our community both inside and outside of the Church.
Events & Parish Engagement
· Provide administrative and promotional support for parish events.
· Coordinate assigned parish events and activities.
· Assist with event communications, registration, hospitality, and logistics.
· Work with the Rector and Wardens to develop and maintain an annual calendar of events that encourages parish and community engagement through the seasons of the Church and raises money to support parish ministry and the mission and outreach of the Church.
Other Duties
· Perform other responsibilities as assigned.
Qualifications and Experience
· Experience working in a church, faith community, nonprofit, or volunteer-based organization.
· Demonstrated experience in reception, customer service, office administration, communications, event coordination, or a related field.
· Excellent interpersonal skills with a warm, welcoming, and service-oriented approach.
· Strong written and verbal communication skills.
· Excellent organizational skills with the ability to manage multiple priorities and deadlines.
· Proficiency with Microsoft Office ( strong Word and Outlook and basic Excel).
· Experience using website platforms, social media, and digital communication tools.
· Experience preparing newsletters, bulletins, promotional materials, or correspondence.
· Experience using creative design programs such as Canva.
· Experience coordinating volunteers, community programs, or events.
· Ability to work independently while collaborating effectively with clergy, staff, volunteers, and ministry leaders.
· High level of integrity and ability to maintain appropriate confidentiality.
· Current Police Record Check, including a Vulnerable Sector Check, or willingness to obtain one.
Reporting Relationships
Parish Ministries and Office Coordinator reports to the Rector on a day-to-day basis.
The position works closely with the Finance and Facilities Administrator, Wardens, clergy, ministry leaders and members of the wider parish community.
