St. Anselm’s is part of the Anglican Church of Canada and its parish boundaries include UBC, the University Endowment Lands, and the Musqueam village. We are currently seeking a part-time parish administrator.
Goals of the Position:
- To provide office administration support to serve the needs of the parish.
- The administrator will work to support the mission of St. Anselm's. To assist the positive image of St. Anselm's through providing a friendly and professional manner when answering the telephone, dealing with the public, and in the production of printed materials as required.
- To support the Rector, the Parish Administrator is responsible for executing the day-to-day administrative operations of the church.
Responsibilities of the position:
Weekly:
- Produces the bulletin using provided templates and materials in accordance with the direction of the Rector.
- Answers phone messages and email in a prompt, friendly, and professional manner.
- Uses established personal decision making skills to assess work flows to achieve successful completion of all weekly tasks.
- Produces supporting materials for special services and bible studies.
- Provides other administrative support for the parish, at the Rector’s discretion
- Keeps social media and other media up to date as needed.
- Gathers, prepares, and sends the weekly email message to the parish.
- Maintains electronic calendar of bookings, events, meetings, and other necessary information to ensure smooth running of the building.
- Other duties to be assigned from time-to-time.
Monthly:
- Assists lay members as they develop rosters for liturgical duties; check and distribute the schedule.
- Prepares documentation to arrange bookings and rentals.
- Prepares and sends quotes in response to approved rental enquiries.
- Receives and handles cheques in accordance with established policy.
- Prepares and distributes invoices for bookings and rentals.
- Deals with conflict between tenants and the parish activities and intervenes as needed when tenants fail to follow agreements made.
- Maintains office-filing systems, including computer hard drive and conventional paper files.
- Ensures all records from vestry and other meetings as required are received and filed.
- Maintains parish database using Power Church.
- Maintains parish roll including weekly email database.
- Produces and distributes print and electronic marketing materials (including on social media); edits, prints, and distributes correspondence from Rector and other church leadership.
- Inputs the financial data as provided by the treasurer into the Power Church database.
- Administratively supports ongoing parish social/fundraising events.
- Other duties to be assigned from time-to-time.
Yearly:
- Compiles the annual report.
- Facilitates parochial report submissions to the Diocese.
- Maintains Screening in Faith, Police background Checks, and any other Diocesan mandated training program records in accordance with established policy as directed by the Diocese of New Westminster.
- Facilitates general requests from parish leadership, membership, and clergy as is appropriate.
- Conducts policy research for areas of action expressed via the rector/vicar (ie: Rental rates).
- Other duties to be assigned from time-to-time.
As required:
- Assists with marketing and production of materials for special events.
- Proactively reaches out to members of the parish with reminders for special events and tasks to be performed.
- Acts as a liaison with external providers of services.

Accountability:
- The Administrator reports to and is supervised by the Rector.
- The Administrator adheres to the staff guidelines and the values which uphold them.
- The Administrator's performance appraisal is the responsibility of the Rector.
- Hours of position: 12 hrs. per week (three times a week, preferably Tue, Wed, Thurs) paying 27.85 an hour

- The Administrator is responsible to ensure balance in their life in which their physical, spiritual and relational needs are appropriately met.
